2. What personal information we collect

We collect personal information only when you voluntarily provide it or when it is generated by your use of this website.

Through the contact form, we collect:

• Your name
• Your email address
• Your telephone number (if provided)
• Your business name and sector
• The content of your message or enquiry

Through Google Analytics (GA4), we automatically collect:

• IP address (anonymised)
• Browser type and version
• Pages visited and time spent
• Referring website
• Device and operating system information

We do not collect sensitive personal information as defined by POPIA (such as race, religion, health information or criminal history).

3. Why we collect it and how we use it

Contact form data is collected for the purpose of responding to your enquiry, assessing whether and how Alchemy can assist you, and following up on an ongoing advisory relationship if one develops. We do not use your contact information for unsolicited marketing.

Analytics data is collected to understand how this website is used, which pages are most visited, and how visitors find us. This helps us improve the content and usability of the site. Analytics data is processed by Google Analytics on our behalf.

4. Lawful basis for processing

We process contact form data on the basis of your consent, given at the time of submission, for the purpose stated above.

We process analytics data on the basis of our legitimate interest in understanding how our website is used and improving it. You may opt out of analytics tracking at any time (see Section 8 below).

5. How long we keep your information

Contact form data is retained for as long as is reasonably necessary to respond to your enquiry and maintain records of the advisory relationship, typically no longer than three years from last contact unless a longer retention period is required by law or legitimate business purpose.

Analytics data is retained in accordance with Google Analytics default retention settings, currently set to fourteen months.

6. Who we share your information with

We do not sell or rent your personal information to any third party. We share your information only in the following circumstances:

• Form handler (Web3Forms or Formspree): Contact form submissions are transmitted through a third-party form handling service. These services process your data to deliver it to us and are required to handle it securely.
• Google Analytics: Analytics data is processed by Google LLC. Google may transfer this data to servers in other countries. Google's privacy policy is available at policies.google.com/privacy.
• AI receptionist service: Calls to our telephone number (+27 11 463 4610) are handled by an AI telephony service that records and processes call data in order to route enquiries to the relevant principal. Call data is processed in accordance with that provider's terms.
• Legal requirement: We may disclose personal information if required to do so by law or in response to a valid legal process.

7. Your rights under POPIA

As a data subject under POPIA, you have the right to:

• Request access to the personal information we hold about you
• Request correction of inaccurate or incomplete information
• Request deletion of your personal information (subject to any legal retention obligations)
• Object to the processing of your personal information
• Withdraw consent where processing is based on consent
• Lodge a complaint with the Information Regulator
